Calendar: Subscribe to the University's Payroll, Holiday, and Academic Calendars

Body

This service is for faculty, staff, and students.

St. Thomas members can subscribe to the official university calendars directly from their account.

Instead of manually entering these dates into your Outlook calendar, you can subscribe to these published calendars that are automatically updated as events are added or changed. You can view and subscribe to published calendars from Office 365 using the directions below.

The following St. Thomas calendars have been published online in Office 365:

  • University Holidays
  • Payroll Calendar
  • Undergraduate Academic Calendar

How to Add a Calendar Subscription to Your Outlook Calendar

Although the instructions must be completed in Outlook on the web (Office 365), the calendars will display in Outlook desktop clients after you complete the instructions. They will show on your list of other calendars, and you can overlay, close, and open them as needed.

  1. Log in to Outlook on Microsoft Office 365 at https://outlook.office.com/mail/inbox
  2. Go to the Calendar option on the left
    Calendar tab in Outlook
  3. In the left-hand menu choose Add Calendar
Option to add calendar on Outlook web
  4. Select Subscribe from web

  5. Copy & Paste one of the following URLs into the space provided and give it a friendly name. You should also select a color and charm.
    1. To add the Payroll Calendar: https://link.stthomas.edu/payrollcalendar
    2. To add the University Holiday Calendar: https://link.stthomas.edu/holidaycalendar
    3. To add the Academic Calendar: https://link.stthomas.edu/UGcalendar
  6. Click Import
Screenshot of Outlook calendar's import icon
  7. You should then see a gray bar stating the calendar was imported successfully
    Successful import message
  8. Check your calendar list in the left column for the new calendar

Note:

It may take several minutes before the subscribed calendar will be visible on your other devices.

If you are not seeing new/upcoming holidays, you may need to remove and re-add the calendar. People who synced an old version of the calendar may need to re-sync due to changes in the calendar configuration. After re-adding, you should see new events when they are added without having to re-add.
