Salesforce EDA is the official CRM tool for the University of St. Thomas. With the ability to create reports and dashboards directly within Salesforce EDA this article provides an overview of the current folder structure within the platform. Individuals will only be able to see the folders for which they have access to and further FAQs around gaining access can also be found at the bottom of the page.
Salesforce EDA Folder Structure
The overall structure is based off of the current organizational structure at the University and will be updated as any changes to the University organizational structure occur. The top-level folder directory is also known as the Root Level folders, and any folders located within the root level folders are known as Secondary Level folders. This folder structure aligns with the Cognos Analytics reporting structure with minor level changes due to permission abilities within Salesforce EDA and current access to the platform. As more teams are incorporated into the platform then this article will be updated to reflect changes.

How Can I Request Access to a Folder?
There are two options for requesting access to a folder within Salesforce EDA:
- Have the school, college or department leader submit a ticket through Tommie Tech Services on behalf of the individual requesting access
- An individual can submit a ticket through Tommie Tech Services and the Security team will reach out to the folder owner to approve access.
How Can I Request Access to a Folder for a New Employee?
Have the school, college or department leader submit a ticket through Tommie Tech Services on behalf of the individual requesting access.
How is Security Determined for Each Folder?
Leadership at the school, college or department level act as the Folder Owner and determine which individuals have access and at what level for each folder and its contents.
Is Folder Security Audited?
Yes, every year the school, college or department leader will be notified of the users within their security groups to complete an audit.
Could Employees Who Are No Longer Employed Still Have Folder Access?
By following the necessary steps for off-boarding an employee will remove their Salesforce EDA access all together. But if off-boarding steps do not occur and the employee is still a student or contract worker with access to their St. Thomas account it is possible they still have access. Please submit a ticket to Tommie Tech services right away if you think this is occurring.
