Panopto Content Retention

Effective July 2023, there is a new retention policy that affects stored videos in Panopto. The new policy is a result of a change in the University’s license agreement and allows content owners to continue accessing older content that may be stored on the service.    

What happens when the policy goes into effect?  

The steps below outline the process of the automatic movement of Panopto content between three states: live, archived, and deleted. The policy will be as follows:

  1. Over the summer of 2023, all Panopto video content created on or before January 1, 2021, that has NOT been viewed in more than 2 years will be moved into Panopto’s archive storage. This covers all Panopto recordings in courses (displayed in Canvas as ''Panopto Videos') and personal folders (also known as 'My Folder'). Archived videos are still retrievable however, it may take up to 48 hours for them to be restored.
  2. Recordings held in the archive are not playable, but still appear within their original locations (for example, embedded in Canvas), or within their Panopto folder. Users attempting to play back the recording will see a message indicating that the content has been archived and will be offered the option to restore the content.
  3. Users wishing to use or retain content in the archive may restore this content back into an active state by selecting the appropriate restore option when viewing the archived video.

  4. ITS will run a scan of Panopto twice a year (during the annual holiday break and during the summer) archiving any videos that have not been viewed in more than 2 years.

What will happen to videos currently stored in Panopto?  

If community members have videos on Panopto that need to be accessed for an upcoming course, assignment, or event, they will need to be sure that the video content is not archived at least 48 hours before they’re needed. When a video is archived, the permissions, location of the videos, and data are kept intact. No notifications are sent when a video is archived in Panopto. Creators are encouraged to review archived content to determine if content should be restored, updated, or deleted. Currently, no auto-delete policy exists, but creators are encouraged to delete any unneeded or used content in Panopto.
