This guide is intended to help current users of ScheduleOnce and Zoom integrate the two so that virtual meetings can have a zoom link directly embedded in the meeting invite. ScheduleOnce will follow any Zoom security settings that a user has set, so please keep that in mind when using this functionality.
**** Please complete all steps using Google Chrome browser if possible. ****
Instructions
1. Log into Zoom: https://stthomas.zoom.us, and leave this window open.
2. Open a new Chrome browser tab, then navigate and log into Schedule Once: https://www.oncehub.com/scheduleonce
a. Note: Your ScheduleOnce password is unique to ScheduleOnce and may not be your St. Thomas password. It is whatever you set it up as when you were initially set up to accept appointments in the ScheduleOnce.
3. From your dashboard access your booking page by clicking on the calendar icon in the left menu. If you hover over the Icon it should indicate that it is how you access Booking Pages, Event Types, and Resource Pools
4. Click on your Department folder (example: Academic Counseling) to toggle and show your booking page.
5. Click on your Name to open your Booking Page
6. Click “Location Settings”.
a. In (1) Meeting location, change the option to “This is a virtual meeting”.
b. Scroll down to section (3) Edit conferencing information, and click on “Connect your Zoom Account”
c. If you are already logged into Zoom, it should not prompt you to log in again. If you are asked to log into Zoom, select the SSO option (towards the bottom). When asked for the domain, enter “stthomas”, then click “Next” (or “Connect”) and enter your St. Thomas login information when prompted.
d. Click Authorize to authorize ScheduleOnce to access your Zoom account
e. You'll be redirected back to the ScheduleOnce Web conferencing integration page where you'll see the Connected to Zoom pop-up. Click “Save”.
7. ScheduleOnce is now connected to your Zoom account.
Now we need to configure your Booking Page to use Zoom for all appointments. Your zoom integration will not be saved until you return back to your booking page and save the location settings.
8. Go back to the Booking Page area in the menu.
9. Click on your Department folder (example: Academic Counseling) to toggle and show your booking page.
10. Click on your Name to open your Booking Page
11. Click “Location Settings”.
12. Change (1) Meeting location to “This is a virtual meeting”.
13. Scroll down to section (3) Edit conferencing information, and click on “Connect your Zoom Account”
a. Optional: You can update the message that displays on the confirmation page, but the text space is limited to only what you see in the box.
14. Scroll to the bottom of the page and click “Save”. All appointments tied to this booking page will now be scheduled with Zoom.
