Microsoft Bookings: Appointment Scheduling App

This service is for faculty, staff, and students.

Microsoft Bookings is an online and mobile app for scheduling appointments within the Office 365 suite. You can invite students, external contacts, and colleagues to book an appointment with you or your team through a Bookings page. Bookings takes away the hassle of going into Outlook and searching for free/busy times. You can simply setup a Bookings page, customize it to the types of meetings or services you want to offer, share your link, and others can reserve your time.

You can set up your bookings page so that the system looks at your Outlook calendar for availability.

How to Setup and Use Bookings

ITS recommends first watching the brief video and training Microsoft created. Bookings Training from Microsoft will walk you through the following steps on how to use Bookings.

The first time you go to Bookings in Microsoft Office 365, you may need to log on and select "Get it Now" to begin setting up your page.

  1. On the Booking Page dashboard, review your address, hours, and other business information, and update if needed.
  2. On the Calendar page, you and your staff can add or update appointments. You can view your calendar by day, week, or month.
  3. The Staff page allows you to add and manage your other people to you page. These staff members' calendars will also be bookable from your Bookings page. It's important to add their email addresses so they can receive immediate notifications of new appointments.
  4. The Services page allows you to add or manage the services that  people choose when booking an appointment.
  5. Add online meetings (via Microsoft Teams) to your appointments by default.
  6. Finally, on the Booking Page page, you'll find many settings like your scheduling policy, email notifications, time zone settings, and more.
    • To allow booking based on Outlook calendar availability, make sure your default scheduling policy, and any service-specific scheduling policies, are set to "Bookable when staff are free."

Once you've saved and published your Bookings calendar, the link can be shared on your website or in your email signature. People booking you time via this page do NOT need to log in to the Bookings app - you simply share a link to the page for them to reserve your time.
