How to Import Data into Salesforce Marketing Cloud (SFMC)

To ensure data quality, governance, and cost management, the University of St. Thomas has adopted new standards for importing data into SFMC. Required fields in all cases: 

  • Salesforce Contact ID
  • Email Address
  • First Name
  • Last Name

Import Methods by Audience Type

Current Students, Faculty, and Staff

  • Use the “All_UST” Data Extension in the Shared Data Extension folder.

  • Create a Filtered Data Extension based on your audience criteria.

Training available:

  • Module 12: Build Filtered Data Extension in SFMC (25 minutes)
  • Available in the St. Thomas Email Hub Academy course on Canvas.
  • Contact the Communication Systems Team to be enrolled.

Prospective Students 

  • Create a Salesforce report yourself if you are a Salesforce EDA (SF EDA) user. 

  • If you do not have SF EDA access, submit a ticket to Enrollment Technology & Analytics to request a Salesforce Report.

Alumni Data

Before submitting your request:

  1. Create a Campaign in Salesforce EDA and provide the Campaign ID in your request.

  2. Follow this Trailhead module on Campaign Basics if you need guidance. You have to setup a free Trailhead account to access the module. 

    • If you do not have access to Salesforce EDA:

      • Option 1: Have a team member with SF EDA access to create a campaign.

      • Option 2: Request SF EDA access if you frequently request alumni data.

Other Audiences Beyond the Above Types

  • Create a Salesforce report in EDA if you have SF EDA access. 

  • Submit a data ticket requesting a Salesforce report if you do not have SF EDA access.

Audiences with Attributes Not Available in EDA (Banner File Requests)

  • If you need data available only in Banner, submit a request for a Banner file.

  • Be sure to specify:

    • Salesforce Contact ID

    • Email Address

    • Any other required fields

New contacts: Audience does not exist in SF EDA or Banner

  • Number of new contacts fewer than 10:
    You can manually add the new contacts in SF EDA through creating "Interaction" following the pop-up window wizard with required fields: First Name, Last Name, Email Address. 
  • Number of new contacts more than 10
    • Ensure you have the required data fields: First Name, Last Name, Email Address to prepare a data file in excel. 
    • Create a new Campaign in SF EDA. Add a new Campaign Member Status of "Subscribed". 
    • Prepare your data file follow this knowledge article.
    • Submit a Salesforce Data Load ticket with the data file attached.

In general, all data files must be delivered either as Salesforce reports, Salesforce Campaigns, Banner file imports into SFMC.
