How do I enable and use Zoom AI Companion for meetings and whiteboards?

Zoom AI Companion is a generative artificial intelligence (AI) assistant integrated with Zoom Workplace. It can help users ask questions about meetings, create meeting summaries, review cloud recordings, and generate content on Zoom Whiteboards.

  • Zoom Whiteboards
  • Meeting hosts, co-hosts, and participants

Resolution

Before You Begin

Important: Only a meeting host or co-host can start or stop AI Companion features during a meeting. Participants cannot enable or disable these features.

Select a Section

Select a section below to show or hide its information.

Configure the AI Companion features you want to make available for meetings you host.

  1. Navigate to the University of St. Thomas Zoom portal.
  2. Select Log In.
  3. Sign in with your St. Thomas credentials.
  4. Select Settings in the navigation menu.
  5. Select the AI Companion tab.
  6. Enable the AI Companion features you want to use, which may include:
    • Allow users to ask AI Companion questions about the meeting
    • Meeting summary with AI Companion
    • Smart recording with AI Companion
    • Whiteboard content generation with AI Companion

Your changes are saved automatically. The AI Companion icon will appear in the meeting controls when an enabled feature is available.

Ask Questions During a Meeting
  1. Start or join a Zoom meeting.
  2. Select the AI Companion icon in the meeting controls.
  3. Start an available AI Companion feature if it is not already active.
  4. Type a question in the AI Companion panel, such as What topics have been discussed so far?
  5. Review the response in the panel.

AI Companion can help participants catch up on earlier discussion or clarify points without interrupting the meeting.

Create a Meeting Summary

A meeting host or co-host can start the meeting-summary feature during a meeting. After the meeting, AI Companion can generate a summary and proposed next steps for review and sharing.

Review a Smart Recording

When a meeting is recorded to the Zoom cloud with Smart Recording enabled, AI Companion can provide highlights, chapters, summaries, and meeting analytics. Open the cloud recording after the meeting to review the available AI-generated information.

AI Companion can help generate ideas, extend existing content, categorize information, and organize content during a collaborative whiteboard session.

  1. Open a Zoom Whiteboard.
  2. Open the AI Companion panel.
  3. Type a prompt requesting ideas, additions, or help organizing the whiteboard.
  4. Review and refine the generated content before using it.

Caution: AI-generated content may be incomplete or inaccurate. Review generated content before sharing it or using it to make decisions.

Troubleshooting

If an AI Companion feature is unavailable:

  • Confirm that you are signed in with your St. Thomas Zoom account.
  • Confirm that the feature is enabled under the AI Companion tab in the Zoom web portal.
  • Update the Zoom Workplace desktop or mobile application.
  • Confirm that you are the meeting host or co-host if you need to start or stop a feature.
  • Check whether the setting is locked and cannot be changed.
  • Record the complete wording of any error message before contacting the Tech Desk.
