Outlook: FindTime Feature for Calendar Meetings

This service is for faculty, staff, and students.

FindTime is an Outlook add-in for scheduling meetings. The organizer can send multiple time options through FindTime and minimize the back and forth emails in scheduling. It's installed on St. Thomas Outlook (web and desktop, Mac and Windows) by default, and can make scheduling large meetings much easier.

Note: FindTime will soon be re-named Schedule Poll.

How it Works

FindTime uses free/busy data to show what days and times work the best for you and attendees. Propose your selected times to all attendees and allow everyone to vote and quickly come to a consensus. After attendees vote, FindTime automatically schedules the meeting at the best time on your behalf.

Attendees do NOT need to have Outlook, Office 365, or the FindTime app. This means FindTime is a great tool for scheduling meetings with external contacts, whose free/busy information you can't see anyway. Even with internal contacts, FindTime can be useful for scheduling with large groups when people are busy or have their calendars blocked for work time.

How to Reply with a Meeting Poll in Outlook Web

  1. Find an email in your inbox with individual(s) you want to schedule a meeting
  2. Click the ... ellipses icon
  3. Choose FindTime from the list of options (see screenshot below)

How to Reply with a Meeting Poll in Outlook Deskop

  1. Find an email in your inbox with individual(s) you want to schedule a meeting
  2. Go to the Home tab on the ribbon menu
  3. Choose Reply with Meeting Poll icon in the FindTime section (see screenshot below)

How to New Meeting Poll from Meeting Invite in Outlook Web

  1. Go to your Outlook calendar from Office 365
  2. Create a new meeting
  3. Click the ... elipses icon
  4. Choose FindTime from the list of options (see screenshot below)
  5. Fill out the remaining meeting details and click Save

New Meeting Poll from Meeting Invite in Outlook Desktop

  1. Open Outlook on your Windows PC desktop
  2. Go to your calendar to create a new meeting
  3. Go to the Meeting tab on the ribbon menu
  4. Choose New Meeting Poll icon in the FindTime section (see screenshot below)
  5. Then fill out the rest of the meeting details and press the SendNew meeting poll icon in FindTime section
